NOTE: Please read this legally binding agreement carefully. By completing your registration, processing your initial payment, and signing below, you (the “Participant”) unconditionally agree to all terms, financial policies, liability releases, and behavioral standards established for The Cigaribbean 2026.
1. Comprehensive Payments, Installments, & Separate Cost Policy
1.1 BINDING AGREEMENT & REGISTRATION STRUCTURE: I understand that by submitting my initial deposit payment, I am entering into a binding financial contract. The registration fee strictly covers official event credentials, masterclasses, hosted food and beverage functions, and daily premium cigar allotments. All event program passes are priced and sold strictly on a per-person basis; no joint, couples, or group passes are available. Official credentials will be verified by security staff at all event entry points. Every individual must hold a separate pass, regardless of whether Participants are sharing a hotel room.
1.2 Separate Cost Acknowledgment & Extended Stay Rates: The Participant explicitly acknowledges that the Event Program Rate, hotel lodging costs, and airfare are completely separate fees. Flights, ground transit, and resort accommodations are not covered by the event program pass and must be managed and billed independently. Participants who purchase any of the official program passes can enjoy exclusive, heavily discounted room rates at the Grand Hyatt Baha Mar for an extended stay from November 9th through November 19th, 2026. These special discounted rates are applicable for up to three days prior to and three days following the official event dates, allowing you to extend your luxury experience in the Bahamas. Please note that while your event programming credentials only grant access to functions during your specific pass dates, the resort discount code remains fully valid throughout this entire window to accommodate your extended travel plans. Participants assume full financial responsibility for their personal hotel room booking, out-of-pocket costs, personal incidentals, independent meals, and the mandatory hotel incidental hold upon check-in.
1.3 Payment Methods & Processing: All transactions must be processed through our secure internal payment portal. Accepted payment methods include Visa, Mastercard, American Express, Discover, Apple Pay, and Google Pay. Personal checks, cash, or wire transfers are NOT accepted under any circumstances for methods of payment.
1.4 Experience Tiers & Billing Milestones: Participants may choose to pay in full at registration or opt into the 2-Installment Schedule. Participants will receive an email which will include discount room code and invoice for the final balance, which will be paid automatically on September 25, 2026.

Option 3: The Connoisseur Pass ($1,800.00 Total) | Dates: Nov 13, 14, & 15 (3 Day Event Pass)

1.5 STAND-ALONE EVENT CANCELLATION CLAUSE: I understand that the event organizers reserve the right to cancel, shorten, or postpone The Cigaribbean 2026 due to low registration volume, logistical impossibilities, or vendor failures. If cancelled entirely by the organizers prior to November 12, 2026, for reasons other than Force Majeure, I will receive a full refund of my paid Event Program Pass. The organizers are not responsible for secondary financial losses, including non-refundable airfare, hotel cancellation penalties, or booking fees at the Grand Hyatt Baha Mar. I must look to my independent travel insurance provider to recoup travel losses.
1.6 STRICT ZERO-REFUND POLICY & CHARGEBACK WAIVER: I agree that all full payments and individual installment payments processed through the internal portal are 100% non-refundable and non-transferable immediately upon processing. No exceptions or partial refunds will be granted for any reason, including personal or family medical emergencies, sudden illnesses, injuries, flight delays, cancelled connections, missed travel arrangements, professional conflicts, or documentation failures. I assume full financial risk for unexpected occurrences and certify that I will not attempt to circumvent this policy by initiating a credit card chargeback, dispute, or reversal with my bank. I authorize the organizers to use this signed agreement to immediately defeat any such dispute.
1.7 LATE PAYMENTS, GRACE PERIOD, & AUTOMATIC FORFEITURE: I understand that payment deadlines are strictly enforced to maintain group standing with Baha Mar. A 7-day grace period will be granted following the October 3rd deadline (running 9/26-10/3). A flat $75 late fee will be automatically added to balances not settled by October 4, 2026. If a balance remains unpaid by October 9, 2026 (14 days past the milestone deadline), my registration will be automatically cancelled, all prior deposits and payments will be 100% forfeited, and any allocated event assets will be permanently released.
1.8 NO-SHOWS & EARLY DEPARTURES: I acknowledge that failure to check in at the Grand Hyatt Baha Mar on my scheduled arrival date will be classified as a "No-Show." In this event, my entire registration and hotel block allocation will be automatically cancelled, all funds paid to date will be 100% forfeited, and no credits or roll-overs to future events will be issued. No partial refunds, prorated credits, or vouchers will be granted if I choose or am forced to depart the event early, or check out of the resort prior to my scheduled departure date.
1.9 Mandatory Agreement & Submission Framework: To complete registration, participants must sign this Mandatory Participant Acknowledgment & Waiver, Agreement & Signature form prior to participating in any event activities. Signatures can be submitted digitally by replying directly to the registration email via cigaribbean@gmail.com , or physically in person at the Cigaribbean Welcome Desk during hotel check-in. Event credentials will not be issued, and access to all masterclasses, dinners, and functions will be strictly denied until this signed agreement is received and verified by event staff.
1.10 Dietary Restrictions & Allergies: The Participant is solely responsible for disclosing any severe food allergies, medical dietary restrictions, or specialized nutritional requirements to the event organizers via email at cigaribbean@gmail.com at least 30 days prior to the event. While the organizers will work closely with the Grand Hyatt Baha Mar culinary team to reasonably accommodate disclosed restrictions during official hosted food and beverage functions, the organizers make no absolute guarantees and assume no financial or legal liability for cross-contamination, un-disclosed ingredients, or allergic reactions sustained during the Event. Participants assume full personal responsibility for monitoring their own food and beverage consumption throughout the weekend.
1.11 Media Release & Personal Branding Preferences: By attending the Event, the Participant grants the organizers, their affiliates, and authorized media crews a perpetual, worldwide, royalty-free license to capture, record, edit, and utilize their likeness, voice, image, and photograph in official high-end post-event recaps, digital look books, promotional materials, and luxury branding portfolios. The organizers pledge to maintain strict privacy boundaries and will refrain from releasing specific personal corporate data or unapproved contextual identifications. If the Participant requires strict anonymity or wishes to restrict their likeness from public marketing layouts due to executive, public profile, or personal branding preferences, they must explicitly submit a formal written restriction request to cigaribbean@gmail.com at least 30 days prior to the event kickoff, which will be logged into our internal verification index for our media teams to reference during functions.
2. Grand Hyatt Baha Mar Lodging Framework & Resort Regulations
2.1 Independent Lodging Relationship & Extended Stay Rates: The Participant explicitly acknowledges that The Cigaribbean is exclusively the event host and program provider, not the lodging provider. All hotel room payments, reservation modifications, and installment billing for accommodations must be managed, met, and settled directly with the Grand Hyatt Baha Mar. Participants who purchase any of the official program passes can enjoy exclusive, heavily discounted room rates at the Grand Hyatt Baha Mar for an extended stay from November 9th through November 19th, 2026. These special discounted rates are applicable for up to three days prior to and three days following the official event dates, allowing you to extend your luxury experience in the Bahamas. Please note that while your event program credentials only grant access to functions during your specific pass dates, the resort discount code remains fully valid throughout this entire window to accommodate your extended travel plans.
2.2 Group Code Eligibility Requirement: To qualify for the exclusive, contracted group hotel rates at the Grand Hyatt Baha Mar, the Participant must successfully process Installment 1 on their selected payment plan or pay their chosen program pass in full. Meeting this initial financial milestone is the sole requirement to successfully receive the private group discount code.
2.3 One-Night Room Deposit: Upon successful verification of payment, a unique, specialized group code will be issued via the email confirmation receipt, unlocking contracted lodging rates that are lower than public rates. To officially lock in and secure a hotel room within the event block, the Participant must access the resort's private booking link using their code and immediately pay a deposit equal to one night’s lodging rate plus taxes directly to Baha Mar. Rooms within the block are limited and allocated on a first-come, first-served basis; the organizers bear no responsibility or financial liability if the block fills or if an Participant fails to secure accommodations.
2.4 Check-In & Mandatory Incidental Hold: Standard check-in at the Grand Hyatt Baha Mar begins at 4:00 PM. Upon arrival, the resort requires the primary cardholder to present a valid physical credit card for a mandatory security incidental hold of $200.00 per night to cover room charges, dining, resort amenities, spa services, or property damage outside of the event program functions. This hold is authorized and processed strictly between the guest and the resort; the event organizers have no access to, control over, or liability for hotel financial holds or their subsequent banking release timelines.
2.5 Room Occupancy vs. Event Credential Enforcement: While multiple participants are permitted to share a single resort room or suite to split independent lodging costs, every individual occupant must still possess their own personalized, independent Cigaribbean 2026 program pass. Sharing a hotel room block booking does not grant event access or entry privileges to un-ticketed guests. On-site credentials will be verified strictly by security personnel at the entrance of all masterclasses, dinners, and hosted functions, and access will be denied to any individual who does not hold a separate, valid event pass under their own legal name.
3. Credit Card Chargeback Protection & Dispute Policy
3.1 Agreement to All Sales Terms: Participants certifies that they have read, understood, and voluntarily accepted all event policies prior to purchase. Any attempt by the Participant or cardholder to circumvent the cancellation policy by initiating a credit card chargeback, dispute, or payment reversal with their financial institution for any reason constitutes a material breach of contract and fraud.
3.2 Consent to Chargeback Reversal: Participants hereby authorizes the event organizers and their merchant processor to present this signed contract and digital log history to their issuing bank to immediately defeat and reverse any such dispute.
3.3 Financial Liabilities for Disputes: If a chargeback is initiated, the organizers reserve the right to immediately revoke event credentials, cancel resort room bookings, charge a $250 administrative processing fee, and hold the Participant financially liable for all associated collections fees, court costs, and reasonable attorney fees.
4. Mandatory Travel Requirements & Entry Documentation
4.1 Mandatory Travel Documents:
· Passport Book: All Participants arriving by air must present a valid passport book. Passport cards are not accepted for international air travel.
· Passport Validity: Your passport must be valid for the entire duration of your stay (Nov 12–16, 2026). Non-U.S. and Non-Canadian citizens must have at least six (6) months of validity remaining from the date of entry.
· Blank Pages: Your passport book must have at least two blank pages for the Bahamian entry stamp.
· No Birth Certificates: Voter registration cards and birth certificates are no longer valid for entry.
4.2 Border Control Requirements: Upon landing at Lynden Pindling International Airport (NAS), immigration officers require proof of the following:
· Return Ticket: A confirmed onward or return airline ticket to leave the Bahamas.
· Proof of Lodging: Your Baha Mar hotel booking confirmation.
· Sufficient Funds: Evidence of financial means to support yourself during the trip.
· Immigration Card: A completed Bahamas Disembarkation/Embarkation Card, distributed on the flight or filled out upon arrival.
4.3 Visas & Green Cards:
· U.S. & Canadian Citizens: No tourist visa is required for stays under 8 months.
· U.S. Green Card Holders: Do not require a visa for stays up to 30 days but must present their original Green Card and a valid national passport from their country of birth.
· Other Nationalities: Participants originating from outside the U.S., Canada, or the UK must check the Bahamas Immigration Visa Portal to verify if their country of origin requires an entry visa.
4.4 Customs & Cash Declarations:
· Currency Limit: You may bring cash into the Bahamas, but any currency or negotiable monetary instruments totaling $10,000 USD or more must be declared on your customs form upon arrival and exit.
· Baggage Declaration: You must complete an oral or written baggage declaration regarding any commercial goods or high-value items brought into the country.
4.5 Health & Protocols: There are currently no pre-arrival COVID-19 testing, health visas, or vaccination mandates to enter the Bahamas.
4.6 Returning to the United States:
· Pre-Clearance: Nassau features a U.S. Customs and Border Protection Pre-Clearance facility. You will clear U.S. customs in the Nassau airport before boarding your flight home, allowing you to bypass immigration lines upon landing in the U.S.
· TSA PreCheck: Lynden Pindling International Airport allows the use of TSA PreCheck lanes for eligible travelers.
5. Package Inclusions, Exclusions, & Recap of Responsibilities
5.1 What is Included: The following specific items are covered under the official event registration framework once the chosen program pass and corresponding hotel arrangements are verified:
· Event Credentials: Full access to all private "Cigaribbean" seminars, meals, smoke-outs, and mixers linked to your chosen tier.
· Hosted F&B Functions: Welcome Reception (hosted cocktails and food); Farewell Gala (final night dinner with a premium open bar); Scheduled Tastings, meals and events (as listed in the itinerary).
· Resort Amenities: Full access to Baha Bay Luxury Waterpark, the Baha Mar Casino, fitness centers, and non-motorized water sports (kayaks, paddleboards, and snorkeling gear) for all registered hotel guests.
· Event Swag: Commemorative 2026 event gift bag.
· Mandatory Resort Fees: Daily Resort Fee of approximately $59 per night (varies by hotel brand), 10% Bahamas Value Added Tax (VAT), and daily hotel service charges are included under the group room billing block.
5.2 What is NOT Included: The following are out-of-pocket personal expenses to be handled exclusively by the Participant:
· Transportation: Flights to/from Lynden Pindling International Airport (NAS), airport ground transfers (taxis or private car services), and hotel Valet Parking (which incurs a daily surcharge).
· Food & Beverage Outside Scheduled Events: Independent/incidental meals (breakfast, lunch, or dinner on days/times not explicitly listed in the itinerary), in-room mini-bar items, poolside food/drink service, and alcohol ordered outside of official functions.
· Specialty Dining: Dining at premium resort venues (e.g., Marcus at Baha Mar Fish + Chop House or Carna) unless specified in the event itinerary.
· Premium Activities: Treatments at ESPA or Sense Spa, golf tee times at the Royal Blue Golf Club, casino gambling expenses, motorized water sports (jet skis, boat charters, deep-sea fishing), and private cabana rentals at the pools or Beach Club.
· Administrative & Legal Fees: Travel insurance policies, passport procurement/renewals, shipping/handling fees for personal materials or humidor transport, and hotel business center services.
5.3 Participant Responsibility Recap Clause: The Participant acknowledges and agrees that the registration fee covers only the specific items listed in the "What is Included" section. All other costs, including but not limited to airfare, airport ground transfers, personal hotel room bookings, personal meals/drinks, premium activities, specialty dining, spa treatments, casino play, and emergency expenses, are the sole financial and legal responsibility of the Participant. Upon check-in, Baha Mar requires a mandatory credit card authorization hold of approximately $200 per night to cover incidental charges, which are settled directly with the hotel and are completely separate from the event entity.
6. Travel Insurance Declination Policy
6.1 Insurance Recommendation: Because of the non-refundable nature of this event, the organizers STRONGLY RECOMMEND AND URGE all Participants to purchase independent, comprehensive travel insurance featuring a "Cancel for Any Reason" (CFAR) upgrade.
6.2 Verification Window: Participants must upload proof of insurance or a signed liability waiver within 21 days of their initial deposit. Most major insurance providers (such as Travelex Insurance or Allianz Global Assistance) require CFAR add-ons to be purchased within 14–21 days of your initial trip payment.
6.3 Assumption of Risk: Any Participant who declines to purchase CFAR travel insurance voluntarily assumes 100% of the financial risk of their registration. The event organizers will not provide compensation, partial refunds, or credit vouchers if an uninsured guest is unable to attend.
7. Liability Waiver, Release of Claims, and Assumption of Risk
7.1 Voluntary Participation: Participant acknowledges that traveling to an international destination and participating in event activities involves inherent risks. Participant assumes full responsibility for all risks, including travel disruptions, physical injury, illness, or property damage.
7.2 Tobacco & Alcohol Consumption: Participant recognizes that this Event centers around premium cigars and may include alcohol consumption. Participant chooses to consume these products and be exposed to firsthand or secondhand smoke at their own risk. Participant assumes full responsibility for any health issues, intoxication, or injury resulting from their consumption or exposure.
7.3 Release & Covenant Not to Sue: Participant hereby RELEASES, WAIVES, FOREVER DISCHARGES, AND COVENANTS NOT TO SUE the event organizers, hosts, sponsors, staff, and affiliates (the "Released Parties") from any and all liability, claims, or demands arising out of personal injury, illness, medical evacuation, death, or property damage sustained during or in transit to/from the Event.
8. Event Code of Conduct & Guest Etiquette
8.1 Responsible Conduct: Participants must behave respectfully and consume alcohol responsibly. Over-intoxication, disruptive behavior, or harassment of any kind toward fellow guests, sponsors, or Baha Mar staff will result in the immediate revocation of event credentials and eviction from the premises without a refund.
8.2 Smoking Regulations: Smoking is strictly limited to designated outdoor terraces, beaches, and authorized resort cigar lounges. Indoor smoking in prohibited areas or non-designated hotel rooms is illegal and subject to immediate resort cleaning fines (up to $500). Participants are 100% financially liable for any resort property damage or furniture burns they cause.
8.3 Controlled Substances: The use of recreational cannabis or any illegal substances is strictly prohibited within all event spaces and complies with local Bahamian laws.
9. Event Emergency & "In Case of Emergency" (ICE) Policy
9.1 Force Majeure: If a Force Majeure event (e.g., active hurricane warnings directly affecting Nassau, government-mandated travel shutdowns, or resort closures) makes hosting the event impossible, the organizers will transition all bookings to a rescheduled date. No cash refunds will be issued. Any potential lodging adjustments are strictly bound by the corporate policies of Baha Mar.
9.2 Medical Emergency Consent: In the event of a personal medical emergency on-site, Participant authorizes event staff and Baha Mar security to secure necessary first-aid or local hospital transit if the Participant is incapacitated. AS well as contact person listed.
9.3 Financial Liability for Medical Care: The Participant assumes 100% financial liability for all ambulance services, local hospital treatments (such as Doctors Hospital Nassau), medical bills, and emergency medical repatriation flights. The event organizers assume zero liability for medical outcomes or associated costs. Participant acknowledges that standard domestic health insurance rarely covers international medical care.
10. DIETARY ACCOMMODATIONS & ALLERGY DISCLOSURES
10.1 Notification Requirement & Deadlines: Participants must formally disclose all medical dietary restrictions, life-threatening food allergies, or specific cultural dietary needs via email no later than thirty (30) days prior to the event date.
10.2 Scope of Accommodation: The Event Organizer will make commercially reasonable efforts to accommodate pre-registered core dietary needs (including but not limited to Gluten-Free, Vegan, Vegetarian, and Dairy-Free options) through its catering partners.
10.3 Late Disclosures & Modifications: Any dietary requests, updates, or allergy disclosures submitted after the 30-day cutoff cannot be guaranteed due to strict vendor catering and preparation timelines. The Event Organizer shall not be held liable or responsible for any failure to accommodate late requests.
10.4 Food Consumption & Cross-Contamination Waiver Participants acknowledge that all event food, pairings, and beverages are prepared by third-party culinary partners. Ingredients may be processed in shared commercial facilities where cross-contamination of common allergens (such as nuts, dairy, soy, wheat, and shellfish) can occur.
10.5 Liability Release: By purchasing a ticket and entering the venue, the Participant voluntarily assumes all inherent risks regarding food, beverage, and catering consumption. The Participant hereby releases, waives, and forever discharges the Event Organizer, its staff, its venue hosts, and its affiliates from any claims, damages, illnesses, or legal liabilities arising from allergic reactions or foodborne incidents.
10.6 Coordinated Tobacco & Consumption Safety: Participants acknowledge that the Cigaribbean involves the simultaneous consumption of premium tobacco and alcohol alongside catering. Participation is strictly voluntary. Participants assume full responsibility for monitoring their physical well-being, pacing their consumption, and managing any pre-existing health conditions or interactions.
11. AGE VERIFICATION & ENTRANCE POLICY
11.1 Minimum Age Requirement: The Cigaribbean is a strictly adult-only event. All Participants, guests, and ticket holders must be at least twenty-one (21) years of age on or before the date of entry to the venue. No exceptions will be made for infants, children, or individuals under the age of 21.
11.2 Mandatory Identification at the Gate: To gain admission, every Participant must present a valid, unexpired, government-issued photo identification (e.g., driver's license, passport, or state ID card) matching the name on their ticket. Digital copies, photographs, or temporary paper IDs will not be accepted.
11.3 Underage Accompaniment & Group Expulsion Penalty: An adult ticket holder accompanying or attempting to gain entry for an underage individual does not qualify for an exemption under any circumstances. Any attempt to bypass age verification will result in the immediate removal of all parties associated with the reservation from the venue gates or premises.
11.4 No-Refund Non-Admittance Policy: Failure to produce valid photo identification verifying age, or any violation of the accompaniment policy, will result in immediate denial of entry or expulsion. In these cases, all associated tickets will be rendered void, and no refunds, credits, or transfers will be issued to any party involved.
